Higher Education and Student Affairs Event Management Intern
Internship Description
The Higher Education and Student Affairs (HESA) Master’s Program is looking for 3-4 student interns to provide assistance with the Spring 2020 HESA Interview weekend planning process and weekend itself. Both the Lead and Assistant HESA Event Management Interns will work directly with the HESA graduate assistant to accommodate and assist the interviewees’ on the following aspects: transportation, housing, and catering. This includes, but is not limited to, working directly with UConn programs such as Community Outreach for transportation needs, Residential Life and Off-Campus Student Services for housing needs, and Dining Services/ UConn Catering for catering needs. Specific responsibilities will be determined by the HESA graduate assistant, based on the individuals invited to interview for the HESA Program. The anticipated start is November, but this is flexible.
The position will perform basic event planning duties. Both the Lead and Assistant HESA Event Management Intern will be asked to:
Contact University programs and schedule the appropriate number of vans and drivers needed for specific days
Coordinate arrival/departure times for shuttles to and from the airport, and addresses for different necessary pick-up locations at, or near, UConn.
Reserve on and off-campus housing for interviewee’s on a need basis.
Create a master list and pair students for on-campus housing list
Inquire weekend availability from surrounding Hotels
Receive catering orders and appropriately communicate those with Dining Services and UConn Catering.
Ensure that all event materials are kept organized and accessible to staff and other interns throughout the planning timeline and archived at the completion of the interview process
Required Qualifications:
Exceptional ability to communicate verbally and electronically in a professional and appropriate manner
Ability to be resourceful, meet deadlines, and get the job done as quickly and efficiently as possible
Excellent interpersonal skills, ability to communicate and collaborate with staff and students, as well as independently
Capacity to manage time, be organized, and be flexible to numerous issues that may arise
Unwavering commitment to the success of the Interview Weekend (February 23rd - 24th, 2020)
Preferred Qualifications:
Prior experience in Event Management and Communications
Experience with and knowledge of UConn Community Outreach, Res Life, Dining Services, and other campus partners
Planning, documenting, and organizational skills
Student within the Neag School and/or Department of Educational Leadership
